With Squarespace, you can easily match the branding and style of your website to create and send professional invoices for services or custom products. Clients can pay directly through your site, and you can track payments with the Invoicing Dashboard.

Because invoicing is included in all Squarespace plans, it’s easy and cost-effective to manage your business from one place.

How to create an invoice on Squarespace 

Once you're ready to send an invoice, you can create one from the Invoicing Dashboard.

  1. Make sure you’re connected to a payment solution, such as Squarespace Payments, so clients can pay invoices directly through your site.

  2. Click Create invoice, and add or create a new client. Squarespace automatically stores any leads collected from your site’s contact form, so you can quickly add those details to an invoice.

  3. Add line items. Create a line item for every item or service and make sure to include the quantity and the invoice due date. 

  4. Click Styles to match the invoice to your site’s branding. Apply your site styles to your invoice with one click, then make adjustments as needed. Consider customizing other customer emails, like payment confirmations, to match the invoice email.

  5. Send the invoice. Your client or vendor will get an email including all the invoice details and can click Pay Now to pay directly through your website.

Once your client pays their invoice, the status will automatically change to Paid in your dashboard. You can also come back to an invoice to send a reminder email, edit and resend unpaid invoices, refund, or cancel an invoice.

Tips for invoicing clients 

After you send your invoice, you can manage your invoices and projects from the Invoicing Dashboard. Here you can track revenue, review recent activity, and send invoices and payment reminders.

There are some best practices to keep in mind when creating an invoice:

  • Make your invoice detailed. A great invoice is specific about each of the services or products provided and fees.

  • Communicate about payment terms beforehand. Your clients should understand what they owe you, how to pay, how long they have to pay their invoice, and any penalties for late payments, all before you send their first invoice.

  • Consider requiring a deposit. Many successful businesses collect deposits, to protect both the business and the buyer. To collect deposits with Squarespace invoices, create one invoice for the deposit and a second invoice for the remaining balance.

  • Send requests in a timely manner. Sending invoices promptly not only looks professional, it also means you’ll catch your client when you’re still fresh in their mind.

  • Use discounts to build loyalty. Discounts for returning or referral clients can help you grow your customer base. You can add discounts to Squarespace invoices by percentage or dollar amount.
